Technology frees up space and time for small insurer

A small Nova Scotia insurer has chosen a document management solution to reduce time for processing underwriting files and claims – and more importantly, put it in a position to expand.

A small Nova Scotia insurer has chosen a document management solution to reduce time for processing underwriting files and claims – and more importantly, put it in a position to expand.  

The Kings Mutual Insurance Company of Berwick, N.S. has selected the Synergize document management solution to manage their underwriting and claims documentation.

“Synergize is flexible and can be adapted to our needs as a small-sized company,” says Cara Cameron, vice-president finance and treasurer of The Kings Mutual Insurance Company. “We are physically out of file space and this was a solution for us to move away from working with paper files. We’re optimistic that we can grow the company while working smarter and improving service standards to our stakeholders.”

The Kings Mutual Insurance has some 10,300 policy holders and 23 employees, and can trace its roots back to providing insurance protection for farms.

According to Cameron, the firm intends to capture into Synergize all documents relating to underwriting and claims. Physical documents that arrive in Reception will be scanned, and emails and faxes will be saved automatically to Synergize allowing for immediate access to 17 different document types by underwriters, processors and inspection staff.

Distinct workflows will be set up to handle different document types, including new business, endorsements, renewals and cancellations, and two separate document repositories will hold claims information and underwriting information.

With no more available storage space for paper files, the time had come to move to an electronic document management solution, says Cameron. “This will allow the firm’s 14 Synergize users to work more efficiently and improve service delivery to their customers and brokers,” she says.
